Use this guide with one real order exception to find where inventory, fulfillment, returns, and support records diverge.

Choose one exception
Pick a delayed order, inventory mismatch, damaged shipment, return request, refund issue, or customer status question.

Name the first signal
Write down where the exception first appears: storefront, marketplace, warehouse, carrier, help desk, finance record, or customer message.

Find the shared record
Identify the one place the team should use to understand the current order, inventory, customer, and fulfillment status.

Assign the next owner
Name the role responsible for the next action and the role responsible for the next customer update. They may not be the same person.

List the reconciliation points
Record which systems or partners need to agree before the exception is considered closed, such as storefront, 3PL, carrier, marketplace, help desk, or accounting.

Write the exception path
Define what happens when the warehouse count, fulfillment event, return receipt, or refund record does not match.

Start with one repeated gap
Choose the handoff that is most often copied, chased, or answered from memory. Improve that path before adding another application.
What to do with what you find
Fix the simplest repeated handoff first. If information has no owner, arrives too late, or gets copied across systems, map that path before you add another application or automation.
